A hired event planner advises clients on budgets, vendor selection and schedules but does not run the event's operations directly. Planners should confirm how bodily injury claims may still reach them and whether errors in advice or vendor recommendations need professional liability rather than general liability.

Insurers price and review event planner insurance (consultant only) from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Preserve the event planner's hired-consultant-only scope.
  • Identify advice, vendor selection and coordination obligations.
  • Separate the client's event operations from the consultant's services.

What kind of claim is this insurance for?

Suppose a wedding guest is injured on an unsecured dance floor section the planner walked through during setup and alleges that the event planner caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If a vendor the planner recommended fails to show and the client alleges financial loss, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the event planner who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
