How Much Does Fundraiser Event Insurance Cost?

Does a small fundraising goal mean a small insurance need?

No. The fundraising target describes the organization’s financial goal, while liability coverage addresses covered claims against an insured. A modest neighborhood benefit can still involve a rented hall, many visitors, food service, and alcohol.

Start with the venue’s requirements and the event’s actual activities. Share expected revenue without treating it as a cap on possible liability. If the organization already has insurance, ask whether the event is covered and what additional cost, if any, would apply to meeting the contract requirements.

Which revenue number should we provide?

Ask what the application means by revenue and document your estimate. Break out ticket sales, donations, sponsorships, auction proceeds, vendor fees, and alcohol receipts where relevant. Distinguish gross receipts from the amount left after expenses.

For example, a hypothetical benefit expects $18,000 in ticket and auction receipts and plans to spend $7,000 running the event. Do not automatically enter the $11,000 net fundraising goal into a field asking for gross event revenue. Explain the components so the broker can use the correct figure.

Why do the alcohol and activity questions matter?

Describe the event as it will operate: seated dinner, dancing, live auction, sporting activity, or public festival. Explain whether drinks are sold directly, included in tickets, or connected to donations. These details help a provider decide which coverage and underwriting questions apply.

How should our committee compare the quotes?

Create one event description and send the same version with each request. Compare the insured organization, event dates, per-occurrence and aggregate limits, alcohol coverage, deductible, additional insured terms, and exclusions for planned activities. Ask for the full amount payable and the terms for changes or cancellation.

What can we do while the budget is still provisional?

Label estimates clearly and assign someone to update attendance, revenue, and activities as plans firm up. Ask the broker when changes must be reported and whether they could affect price or eligibility. Do not remove an activity from the application merely to keep the insurance line within budget.

Keep cancellation concerns separate if the fundraiser’s financial success is essential to the organization. Request a fundraiser liability quote with the best available information and identify what is still provisional so the proposal can be reviewed accurately.
