Where Can I Get Insurance for a Conference or Business Meeting?

Who should be the applicant?

Identify the legal entity hosting the conference, signing contracts, and collecting revenue. Tell the broker if a parent company, subsidiary, trade association, sponsor, or production company shares responsibilities. The name used in event branding may differ from the organization that needs insurance.

For a hypothetical product launch, a marketing agency submits a quote request on behalf of its client. The agency should explain both roles and provide the relevant agreements. It should not assume its own event-planning insurance or a policy in the agency’s name automatically protects the client as host.

Can a business meeting use a special event policy?

Some programs consider business meetings and conferences. PHLY’s event insurance overview, for example, lists conferences and trade conventions among the event types it covers. Eligibility still depends on the specific program, activities, and application.

Ask whether the proposal is for your role as organizer or exhibitor. If the application does not accurately describe the event, request clarification. A short seminar, a trade exhibition, and a public entertainment event may need different treatment even if your team calls each one a conference.

What should we prepare before requesting quotes?

Collect the venue agreement, agenda, addresses, dates, daily attendance figures, expected revenue, and a list of vendors or exhibitors. Include any alcohol service, demonstrations, offsite activities, or transportation. State the deadline for the venue’s insurance review, which may be earlier than the first public session.

List each additional insured requested by contract with its exact legal name. If the contract calls for a waiver, primary and noncontributory terms, or higher limits, send the wording itself. A paraphrase such as “standard hotel insurance” is not enough for a reliable review.

It can be one option to evaluate. Ask what event activities and locations it covers, who becomes insured, and whether it addresses all parties named in the agreement. Check the proposal against the conference agenda instead of relying only on the hotel’s recommendation.

If you also have company coverage, ask the existing broker how the policies would relate. Avoid paying twice for similar protection without understanding the differences, but do not assume existing insurance addresses the hotel’s requirements until that review is complete.

Review the quote, resolve open questions, and follow the provider’s binding instructions. Obtain confirmation of the effective coverage, then check the issued policy, endorsements, and certificate before sending the documents to the hotel and other requesting parties.
