Event Vendor Insurance: Coverage, Cost and Same-Day Guide

An event vendor sells or displays goods or services from a booth, table or cart at fairs, markets, conventions and festivals. Vendors should pin down the actual products sold, what the event organizer requires on certificates, how inventory and equipment are protected and whether products could cause injury later.

Insurers price and review event vendor insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Specify the vendor service before relying on a general vendor classification.
  • Identify equipment, products and actual customer interaction.
  • Coordinate service contracts with the event organizer.

What kind of claim is this insurance for?

Suppose a shopper is struck on the head when the vendor's pop-up canopy blows over at an outdoor market and alleges that the vendor caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If the vendor's inventory and card reader are stolen from the booth during takedown, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the vendor who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
