Travel and Vacation Show Insurance: Coverage, Cost and Same-Day Guide

A travel and vacation show gathers resorts, cruise lines, tour operators and destinations in exhibit booths, with seminars, giveaways and sometimes tastings. Organizers should sort out exhibitor insurance requirements, booth and signage safety, any food or alcohol sampling, and venue contract demands.

Which guide answers my question?

Which activities should the application describe?

Insurers price and review travel and vacation show insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Identify travel exhibitors and promotional activities.
  • Describe booking services, giveaways or simulations.
  • Coordinate exhibitor contracts and attendee-data collection.

What kind of claim is this insurance for?

Suppose an attendee at a resort exhibitor's booth is struck when a hanging promotional banner falls from its frame and alleges that the show organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If an attendee books a trip through an exhibitor that falls through and blames the show organizer, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the show organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.

Request a quote with your event details. Submitting the form does not bind insurance.
