Indoor and Outdoor Trade Show Insurance: Coverage, Cost and Same-Day Guide

An indoor and outdoor trade show combines booths inside a hall with tents, equipment demos or displays in a parking lot or yard. Organizers should look at exhibitor insurance requirements, weather exposure for the outdoor section, forklift and load-in traffic, and certificate demands from the venue.

Which guide answers my question?

Which activities should the application describe?

Insurers price and review indoor and outdoor trade show insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Identify the trade represented and exhibits using indoor and outdoor spaces.
  • Describe machinery, goods or services demonstrated in each setting.
  • Coordinate exhibitor setup and public movement across the site boundaries.
  • Coordinate movement between indoor rooms and the outdoor activity areas actually used.

What kind of claim is this insurance for?

Suppose an attendee crossing from the hall to the outdoor demo lot is struck by a forklift moving exhibit crates and alleges that the trade-show organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If high winds damage exhibitor tents in the outdoor section and exhibitors demand compensation, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the trade-show organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.

Request a quote with your event details. Submitting the form does not bind insurance.
