Teleconference Insurance: Coverage, Cost and Same-Day Guide

A teleconference links participants by phone or video, sometimes with a group gathered at a host office or rented meeting room. Organizers should consider in-person liability at the host site, the room rental terms, and whether data, recording or privacy exposures call for coverage beyond general liability.

Insurers price and review teleconference insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Identify the organization hosting the teleconference and the participants invited.
  • Describe speakers, live audio or video and any recording responsibilities.
  • Coordinate access credentials, technical support and delivery of the scheduled discussion.

What kind of claim is this insurance for?

Suppose an attendee at the host site's conference room is burned when a coffee urn tips over on the refreshment table and alleges that the teleconference organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If a participant's confidential information is exposed on the call, a cyber or privacy issue rather than bodily injury, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the teleconference organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
