Organizers should sort out vendor insurance and certificate requirements, canopy weighting and layout, how food and alcohol sellers are handled, and whether weather cancellation is a concern.

Insurers price and review street fair insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Map street-fair stalls and public-road access.
  • Identify municipal requirements and independent merchants.
  • Coordinate loading, utility equipment and public circulation.

What kind of claim is this insurance for?

Suppose a shopper is injured when a gust lifts an unweighted vendor canopy and it lands on people browsing nearby and alleges that the fair organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If a storm forces cancellation after vendor fees are refunded and nonrefundable rentals are already paid, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the fair organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
