Organizing speaking engagements means booking venues, arranging seating and stage setups, and scheduling one or more speakers for an audience, sometimes across several sessions. Organizers should confirm who controls each venue, how a speaker cancellation would be handled, and whether contracts require certificates or additional insured status.

Insurers price and review speaking engagement event insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Identify the event organizer and each speaking engagement.
  • Describe panels, audience questions and technical presentations.
  • Coordinate presenter materials and any livestream.

What kind of claim is this insurance for?

Suppose an attendee is hurt when stacked chairs fall from a rolling cart being moved between breakout rooms during the lecture series and alleges that the event organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If a headline speaker cancels and the organizer must refund tickets and pay nonrefundable venue costs, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the event organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
