Organizers should confirm hotel contract insurance requirements, whether any hands-on exercises add risk and whether claims over advice given need professional liability.

Insurers price and review seminar insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe seminar sessions and any group exercises.
  • Identify instructors and participant materials.
  • Coordinate breakout rooms and technical equipment.

What kind of claim is this insurance for?

Suppose an attendee is hurt when a projector cart rolls off the edge of the hotel meeting room riser and alleges that the seminar organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If attendees claim the seminar's advice caused them financial loss, a professional liability issue, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the seminar organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
