Meeting Planner Insurance: Coverage, Cost and Same-Day Guide

A meeting planner organizes conferences and corporate meetings, booking venues, coordinating vendors and managing schedules for clients. Planners should consider professional liability for booking or contract mistakes, and separate advisory work from situations where they actually run the event.

Which guide answers my question?

Which activities should the application describe?

Insurers price and review meeting planner insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe meeting-planning responsibilities and booking authority.
  • Identify client contracts, vendors and schedule coordination.
  • Separate advisory work from running the event.

What kind of claim is this insurance for?

Suppose an attendee slips on a registration area rug the planner placed over a polished lobby floor and alleges that the meeting planner caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If a booking error leaves the client without a venue and the client sues for financial loss, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the meeting planner who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.

Request a quote with your event details. Submitting the form does not bind insurance.
