Fundraising Luncheon Insurance: Coverage, Cost and Same-Day Guide

A fundraising luncheon combines a seated meal with an appeal, pledge cards, sponsor recognition and sometimes wine or a reception. Organizers should consider liquor liability, the venue's certificate requirements and whether directors and officers or volunteer exposures for the nonprofit need separate attention.

Which guide answers my question?

Which activities should the application describe?

Insurers price and review fundraising luncheon insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe the luncheon appeal, pledge or sponsorship process.
  • Identify presentations and temporary display equipment.
  • Coordinate donor reception and meal seating.

What kind of claim is this insurance for?

Suppose a donor is injured when an easel holding a sponsor board falls into the seating area and alleges that the fundraising organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If wine is served to donors and a guest causes a crash afterward, with no liquor liability in place, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the fundraising organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.

Request a quote with your event details. Submitting the form does not bind insurance.
