Luncheon Insurance: Coverage, Cost and Same-Day Guide

A luncheon is a daytime seated meal, often with speakers, presentations or sponsor tables, held at a restaurant, hotel or club. Hosts should confirm the venue's certificate requirements, caterer insurance and how deliveries and setup fit around the venue's normal daytime business.

Insurers price and review luncheon insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe the luncheon seating period and serving arrangement.
  • Identify speakers, presentation materials and any sponsor tables.
  • Coordinate deliveries with the venue's ordinary daytime use.

What kind of claim is this insurance for?

Suppose a guest slips on dropped salad dressing near the buffet station and fractures a hip and alleges that the luncheon host caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If the featured speaker cancels and nonrefundable catering costs are lost, a loss liability coverage does not address, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the luncheon host who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
