A lecture event gathers an audience for a speaker, with seating, presentation equipment, a question period and sometimes recording or handouts. Organizers should sort out the venue's certificate requirements, who supplies the equipment and whether speaker cancellation or recorded content raises separate concerns.

Insurers price and review lecture event insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Identify the lecturer and organization hosting the audience.
  • Describe seating, questions and presentation equipment.
  • Coordinate material distribution and recording if planned.

What kind of claim is this insurance for?

Suppose an attendee is hurt descending steep, unlit auditorium steps after the lights dim for the slide presentation and alleges that the lecture organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If the speaker cancels at the last minute and nonrefundable venue and travel costs are lost, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the lecture organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
