Event Exhibitor Insurance: Coverage, Cost and Same-Day Guide

An event exhibitor rents space at another organizer's expo, trade show or fair to display products or services and meet attendees. Exhibitors should check the show's insurance requirements, how attendee injuries in the booth may be handled, and whether their displays and equipment need separate coverage.

Insurers price and review event exhibitor insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Identify the exhibitor's actual activity within another organizer's event.
  • Describe displays, staffing and attendee contact.
  • Coordinate installation access and booth responsibilities.

What kind of claim is this insurance for?

Suppose an attendee is hurt when a freestanding display monitor tips off its stand in the exhibitor's booth and alleges that the exhibitor caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If the booth's displays and laptops are stolen during show hours, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the exhibitor who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
