Insurers price and review indoor convention insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe the convention's delegate program and any associated exhibits.
  • Identify indoor plenary rooms, supplier responsibilities and shared facilities.
  • Coordinate large-session arrivals with smaller meetings and contracted services.
  • Keep the described public program within the identified indoor rooms and clarify loading access.

What kind of claim is this insurance for?

Suppose an attendee is knocked down on an escalator as a plenary session lets out into a crowded concourse and alleges that the convention organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If an exhibitor's booth materials are damaged by a contracted decorator or the convention is canceled, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the convention organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
