Indoor and Outdoor Convention Insurance: Coverage, Cost and Same-Day Guide

This convention combines an indoor program with outdoor exhibits, food areas or gathering spaces. Organizers should identify exhibitors and suppliers across the entire site, plan how activities shift between settings when weather changes and confirm what each party's coverage includes.

Which guide answers my question?

Which activities should the application describe?

Insurers price and review indoor and outdoor convention insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe the convention's indoor program and outdoor exhibits or gathering areas.
  • Identify exhibitors, venue operators and suppliers across the full site.
  • Coordinate access and changes when convention activities move between settings.
  • Coordinate movement between indoor rooms and the outdoor activity areas actually used.

What kind of claim is this insurance for?

Suppose an attendee is hurt when a gust knocks over an outdoor exhibitor's pop-up tent near the convention entrance and alleges that the convention organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If a severe storm forces the outdoor exhibits to close early and exhibitors seek refunds, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the convention organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.

Request a quote with your event details. Submitting the form does not bind insurance.
