A business expo gathers exhibitors, sponsors and attendees for booths, demonstrations and presentations in a convention space. Organizers should review attendee liability in common aisles, exhibitor insurance requirements, and what the convention center requires on a certificate.

Insurers price and review business expo insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Describe the business exhibition's actual industries and demonstrations.
  • Identify lead-collection booths and sponsor presentations.
  • Coordinate exhibitor services and aisle access.

What kind of claim is this insurance for?

Suppose an attendee is struck when an exhibitor's product demonstration machine throws a part into the aisle and alleges that the expo organizer caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If an exhibitor's booth display is damaged during load-in and the exhibitor blames the organizer, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the expo organizer who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
