Banquet Insurance: Coverage, Cost and Same-Day Guide

A banquet is a formal sit-down meal with catered service, speeches and often an open or cash bar, held in a ballroom or hall. Hosts should look at guest liability, host or liquor liability for alcohol served, and who pays if rented furniture or linens are damaged.

Insurers price and review banquet insurance from the activity plan, not the event name. Describe who is responsible for each of these arrangements:

  • Plan banquet tables and catering-service routes.
  • Identify temporary serving stations and heated food equipment.
  • Schedule speeches and the removal of rented furniture.

What kind of claim is this insurance for?

Suppose a guest is scalded when a server bumps a chafing dish of hot soup at a crowded buffet station and alleges that the banquet host caused the injury. That is the kind of third-party claim event liability insurance may address, subject to the policy terms. If guests are served open-bar drinks and one causes an accident driving home after the banquet, you may need a separate coverage option; ordinary event liability is not automatically the answer.

What should I have ready for a quote?

  • The legal name of the banquet host who will be the named insured.
  • Event dates, setup and teardown times, the venue address and expected daily attendance.
  • The venue contract or permit, including any certificate and additional insured wording it requires.
  • Whether alcohol is served, sold or brought by guests, and who serves it.
  • Hired vendors, performers and equipment rentals, and any activity beyond the list above.
