Which party details should I gather first?

Write a short description covering the occasion, location, dates, attendance, entertainment, food, and alcohol. Add the venue’s written insurance requirements. If several relatives are coordinating, choose one person to keep the details current so different quote requests describe the same party.

Include setup and removal arrangements. Renting a hall for Saturday evening might still involve decorators arriving Friday and equipment leaving Sunday. Ask the provider how those days should be entered and whether the proposed coverage applies while those activities take place.
