What Insurance Do I Need for a Fundraiser or Charity Gala?

Could our current nonprofit insurance cover the gala?

Send the existing broker the planned event description and venue agreement before buying another policy. Ask whether the current policy includes the fundraiser, what exclusions or conditions apply, and whether the venue’s required endorsements are available.

Some nonprofit programs specifically address fundraising activities. Nonprofits Insurance Alliance describes its own fundraiser and event endorsement, for example. That illustrates why checking current terms matters; it does not mean another organization’s policy provides the same protection or that every fundraiser qualifies.

Who is actually organizing the event?

Identify the legal organization signing the venue contract, receiving ticket proceeds, and directing the event. Tell the broker if a volunteer committee, fiscal sponsor, separate foundation, or commercial promoter shares those responsibilities. The name on the banner may not be the name that belongs on the policy.

List sponsors and partners that request additional insured status. Give the broker their contract wording and roles instead of assuming every donor needs to be added. A sponsorship logo alone does not explain the insurance arrangement between the parties.

What should we ask about volunteers and activities?

Describe volunteers’ jobs, including setup, registration, food service, driving, and cleanup. Ask both whether they qualify as insureds for covered liability and how injuries to volunteers themselves are treated. Those are separate questions, and event policies may exclude participant or volunteer injuries.

Include auctions, demonstrations, games, performances, and other attractions in the application. A seated dinner and an outdoor obstacle course raise different issues even if both support the same charity. Ask about activities before committing to them, especially when they involve children or physical participation.

What if a sponsor supplies the bar or transportation?

Explain who contracts for each service, who operates it, and who receives any revenue. Review the service provider’s insurance and the nonprofit’s own exposure. A donated service still needs an insurance review; the absence of a fee does not establish coverage.

What should we send with a quote request?

Prepare the venue requirements, current insurance details, dates including setup, attendance estimate, expected event revenue, activity list, and vendor information. Explain the alcohol arrangement and list other organizations involved. Keep an owner for each outstanding document so the committee knows what remains unresolved.
