Is there a published price example?

As checked September 16, 2026, Event Helper gives an illustrative price of around $125 for a trade show expecting 250 people. That is a trade-show example, not a typical conference price or a Morrow quote. The example does not state its duration or liability limits, so do not assume it matches your request. Obtain a proposal confirming coverage, eligibility, and the full amount due, including any fees or taxes.

How should we describe attendance for a multi-day conference?

Keep separate figures for unique registrants, expected attendance each day, and any public visitors. Ask which measure the application requires. Do not assume that 300 people attending on three days should be entered the same way on every provider’s form.

For example, Event Helper’s FAQ instructs applicants to combine daily attendance across event days, including repeat attendees. Another form may ask a different question. Give the broker your daily schedule and counts so the requested field can be completed accurately.

Which dates belong in the price comparison?

Include exhibitor setup, staging installation, rehearsals, public sessions, receptions, and teardown. Record the addresses if any part happens away from the main venue. Ask whether dates when only contractors are working need to be scheduled and how the coverage applies.

A hypothetical association quotes a two-day convention but plans a full day of booth installation beforehand. Its comparison should account for that access day in both proposals. Leaving it out of one request makes the prices difficult to compare and can leave a coverage question unresolved.

What affects the coverage we should request?

Start with the venue contract and then examine the agenda. Alcohol service, product demonstrations, audience participation, outside vendors, and hired transportation each deserve a clear description. The insurer may ask further questions about those activities.

Separate the organizer’s liability request from insurance for property, cancellation, or professional planning services. An equipment rental contract might ask you to insure the equipment itself; that is not answered by the general liability number alone. Ask for separate explanations and prices where different coverages are offered.

How do we compare the numbers in two proposals?

Match the per-occurrence limit, applicable aggregate, deductible, alcohol terms, additional insured endorsements, and covered operations. Check whether any exclusion removes an activity on the agenda. Ask whether defense costs affect the available limit under the quoted policy.

Also request the full amount due and any terms affecting revisions, cancellation, or refunds. If the company’s annual policy can address the conference, ask how that option uses existing limits and what changes it requires. A stand-alone event policy and an annual-policy endorsement need a careful comparison.

What should our finance team receive?

Give finance the accepted event description, coverage summary, full price, key exclusions, and unresolved questions. Identify the person authorized to accept the proposal and the deadline for evidence. Keep the purchase record with the venue contract so future planners can see what was actually arranged.
