Does Our Business Insurance Cover a Conference or Company Event?

Ask your business insurance broker to review the conference before assuming it is covered. What should we send our current broker?

Provide the venue agreement, event agenda, organizer’s legal name, dates, locations, attendance estimate, and activities. Include setup and teardown, a reception at another address, and excursions offered to attendees. Explain whether the company hosts the event itself or hires a production firm.

Ask for a written explanation of which existing policies appear relevant and what changes or separate coverage are proposed. If your broker requests a vendor list or site plan, use the current planning documents so the review reflects the conference as it will actually operate.

Is event liability the same as event planner insurance?

No. Insurance for a professional event planning business and coverage for a particular host’s event answer different questions. The Hartford’s event planner page describes insurance for the planning business itself. Buying a host policy should not be assumed to replace that business coverage.

Clarify each party’s role: your company may be the host, an agency may handle production, and a hotel may provide the space. Ask what protection each contract requires and whether those parties need additional insured status under another party’s liability policy.

Are employees, speakers, and exhibitors treated like guests?

Do not assume every person at the conference has the same status under the policy. Ask about injuries to employees working the event, volunteers, speakers, performers, and people participating in demonstrations. Workers’ compensation and other coverage questions may arise separately.

Exhibitors also operate their own businesses. Check their agreements and insurance requirements, particularly if they demonstrate equipment, distribute products, or provide services. What changes when we add a reception or activity?

Tell the broker about alcohol, offsite dinners, transportation, physical activities, and public access. A classroom-style seminar can become a different insurance discussion when the agenda adds a cocktail reception and a team competition.

Imagine a hypothetical software conference that adds a climbing-wall activity after the original hotel meeting was quoted. The organizer should disclose the attraction, identify its operator, and request a review before confirming it. The operator’s insurance is relevant, but it does not establish that the organizer’s event policy covers every related claim.

What should the final review establish?

Confirm the insured organization, covered schedule and locations, liability limits, alcohol arrangements, and exclusions affecting the agenda. Compare the policy and endorsements with the hotel’s requirements, then obtain the requested evidence before load-in.

Keep cancellation, rented audiovisual equipment, and registration-data concerns as distinct items instead of assuming the phrase “event insurance” includes them all.
